Virtual Assistance for Mental Health Professionals

You don’t need more data.
You need a way to make sense of it.
Most therapy practices are already collecting information:
-
Inquiries
-
Consults
-
Intakes
-
Client retention
But it’s often scattered, incomplete, or hard to interpret.
So instead of clarity, you get:
-
Guessing
-
Overwhelm
-
Or avoiding the data altogether

This course gives you a system that actually works
Inside, you’ll learn how to:
Track the full client journey
(from inquiry → consult → intake → retention)
Understand what your numbers are actually telling you.
Spot patterns early (before they become bigger issues).
Use data to support real conversations and decisions.
Build something that’s sustainable — not something you’ll abandon in a month.
This is for you if…
You’re a VA supporting therapists and want to offer more strategic, high-value support.
You’re a clinician who wants better visibility into your practice without doing it all yourself.
You’re tracking information, but it doesn’t feel clear or useful yet.
You’ve tried spreadsheets before and they got messy fast.
You want a system that’s structured, but flexible enough to personalize for your specific practice needs.
What makes this course different?
This isn’t just a template or a dashboard tutorial.
You’re not just learning what to track, you’re learning:
-
Why the numbers matter.
-
What might be influencing them.
-
How to interpret patterns (not just report them).
And most importantly…
How to use this information in real-world practice settings.
That means:
-
How inquiries are handled
-
How scheduling is communicated
-
How the practice voice is maintained
-
How information flows between VA and clinician
Inside the course, we don’t ignore those pieces.
You’ll also get guidance on:
-
Setting clear expectations
-
Supporting consistent communication
-
Creating smoother, more aligned workflows
Because without that foundation, even the best system falls apart.
This isn’t just data, it’s how the system actually works.
A tracking system is only as strong as the way it’s used.

"I'm not very techy."
You don’t need to be! Everything is walked through step-by-step, and I explain the why along the way.
"This feels like a lot."
It is layered, but you don't have to do everything at once. You can build this gradually.
"I already track some of this."
Perfect! This course helps you organize and actually use that data in a more meaningful way.
About Your Instructor
Hi, I’m Ally — founder of Virtual Ally, where my team and I support therapists, psychologists, and psychiatric providers across the U.S. with the day-to-day systems that keep their practices running.
Since 2019, I’ve worked closely behind the scenes (and on the phone) in practices of all sizes, supporting everything from inquiries and scheduling to billing, workflows, and overall operations.
Over time, I started to notice a pattern:
Practices were collecting a lot of information, but not in a way that made it easy to understand or actually use. So much of the work was happening across inboxes, spreadsheets, and EHRs… without a clear way to connect the dots.
The systems I share in this course come directly from that work: building, refining, and troubleshooting real workflows inside real practices.
In one case, I supported a practice through revenue growth in 5 years from $200,000 to $2,000,000 (not an exaggeration!) and a big part of that was having clearer systems to understand what was working and where to adjust.
My goal isn’t just to help you “track more.” It’s to help you create something that:
-
makes sense
-
supports better decisions
-
and actually works in your day-to-day role
Whether you’re a VA or a clinician, this is the kind of system I wish more practices had from the start.
