What role would you fill?

We are looking for a Virtual Assistant to directly support the Lead VA on a variety of accounts, with an emphasis on phone correspondence, inquiry management, and social media management. The role will work on a variety of projects both collaborative and independent.

Our team focuses on supporting mental health providers by offering administrative services to both providers and their clients. As a VA, your job will be primarily to extend this support and help foster trust, quality care, and consistency between providers and their patients.

As our Virtual Assistant, you will perform various administrative tasks including answering emails, screening callers, scheduling meetings, and assisting with billing questions. You will need a strong Internet connection along with experience using digital tools like Google Suite. A full list of responsibilities and qualifications is below.

Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision.

​

This position will start at $18.00 per hour. The expected workload is ~10hrs per week, with plenty of room to grow!

 

The Virtual Assistant will be on-call Monday through Friday from 4-6 pm MST. 

This is a Contract/1099 position. To be considered, candidates must show proof of either General Liability insurance or Professional Liability insurance, as well as Cyber insurance. 

 

  • Provide customer service as first point of contact

  • Schedule and manage appointments

  • Perform intake screenings over the phone

  • Manage emails and respond to inquiries (including billing questions)

  • Invoice for appointments

  • Proofread and edit both internal and external documents

  • Perform data entry and manage databases

  • Manage multiple clients and prioritize time-sensitive tasks

  • Organize client and internal calendars

  • Schedule social media posts

  • Send Superbills

  • Check intake forms/send reminders to complete forms

  • Perform some online market research

  • Other administrative tasks as needed

What skills would help you succeed?

  • United States residency

  • On-call availability between 4pm-6pm MST M-F

  • Proof of Professional Liability or General Liability Insurance 

  • Proof of Cyber Insurance

  • Fluency in English, both written and spoken

  • Proficiency with Microsoft Suite and/or Google Suite

  • Familiarity with current technologies like desktop sharing, cloud services, and VoIP

  • Access to secure internet access and non-shared laptop/PC

  • Bachelors Degree or equivalent experience

  • Experience in administration and/or healthcare industry

  • Familiarity with HIPAA regulation

  • Attention to detail

  • Ability to manage time, multitask and self-direct

  • Excellent phone, email, and instant messaging communication skills

  • Organizational and scheduling skills
